eventScribe Website and Mobile App login integrations can pull over information about a registrant such as registration type and ticketed items.
Instructions
Please review the information below to familiarize yourself with how access works within the eventScribe and Survey Magnet products. If this is a new integration, it's a good idea to start working on this prior to your kick-off call so we can discuss it on the call and provide additional guidance.
Use the template at the bottom of this page to compile your registration grid and test accounts. Please submit this information in its ENTIRETY, along with your technical requirements, by the requirements deadline provided by your integration services project manager. A developer will not begin working on your integration until ALL information has been received, including test accounts. Thank you!
Access Levels
Registration type is typically used for groups of users and translates to access levels within eventScribe - Basic, Standard, or Premium. Your membership or registration vendor would include this in the user data via the API made available to Cadmium.
Levels can be used to restrict access to:
- Navigation menu items
- Tiles on the homepage
- Attendee list
- All content in the presentation popups such as:
- Handouts
- Slides
- Videos
- Evaluations
- Live Streams
- "Other" Buttons
- ePosters and audio
- Audience Response System (ARS)
IMPORTANT NOTE
Access levels do not work in Survey Magnet. If you've contracted that product, see the 'Survey Magnet' section below for more information.
NOTE
The "Reg Type" code would be provided by your third-party and must match what will be exposed in their API. The exact field name will vary depending on your third-party.
Example:
Registration Type Code | Registration Type Description | eventScribe Access Level | Access Level Description |
EXH | Exhibitor | Basic | No access to content |
PRESS | Press | Basic | No access to content |
VIRTUAL | Virtual presentations only; has unlock code VIR | Standard | Limited access to content |
INPERSON | In-person presentations only; has unlock code INP | Standard | Limited access to content |
FULL | Full conference; has unlock code FULL | Premium | Access to all content |
STAFF | Staff; has unlock code FULL | Premium | Access to all content |
CX | Cancelled | None | No access |
Unlock Codes
Show items are typically used for a la carte or ticketed items and translate to unlock codes in eventScribe, which control presentation-level access to content. Your membership or registration vendor would include this in the user data via the API made available to Cadmium.
Unlock codes can be used to restrict access to:
- Navigation menu items
- Specific presentation content in the presentation popups such as:
- Handouts
- Slides
- Videos
- Live Streams
- "Other" Buttons
IMPORTANT NOTE
Unlock codes do not work with poster content or the evaluation button on a presentation popup. If you've contracted the Survey Magnet, see the 'Survey Magnet' section below for specifics about how unlock codes function in that product.
NOTE
The "Show Item" code would be provided by your third-party and must match what will be exposed in their API. The exact field name will vary depending on your third-party.
Example:
Show Item Code | Show Item Description | Unlock Code | Presentation-Level Access Description |
VIR | Access to all virtual presentation content | VIR | Only users with the unlock code that matches exactly to the unlock codes on the presentation in Education Harvester will be able to access content for that presentation. |
INP | Access to all in-person presentation content | INP
FULL | Access to all presentation content | FULL
WKS_01 | Purchased ticketed workshop #1 | WKS_01
WKS_02 | Purchased ticketed workshop #2 | WKS_02
WKS_03 | Purchased ticketed workshop #3 | WKS_03 |
In the Education Harvester, in the worksheet titled 'PDF Unlock Codes', you would then assign the corresponding unlock codes to the presentations. The 'PDF' and 'Audio' columns should match. Separate multiple unlock codes with @@@.
For example, in the screen shot below (Fig. 1):
- The first presentation would be open to anyone with unlock code FULL = full conference and anyone with unlock code VIR = virtual
- The second presentation would be open to anyone with unlock code FULL = full conference and anyone with unlock code INP = in-person
- The third presentation would be open to anyone with unlock code WKS_01 which means they purchased ticketed workshop #1
Registration Items
This field is only used to filter tasks in Survey Magnet and is can be viewed in the eventScribe worksheet called 'Integration - User Profile Field Verification'.
Registration items can be mapped to match the registration type field OR the unlock codes field. In the example below, we are mapping the registration type code from the membership/registration vendor API to the registration item field in eventScribe/Survey Magnet.
Example:
Registration Type Code | Registration Type Description | Survey Magnet Task Description |
EXH | Exhibitor | Exhibitor Evaluation task - filtered to only show the exhibitor evaluation |
PRESS | Press | NA |
VIRTUAL | Virtual presentations only | Virtual Conference Evaluations task - filtered to only show virtual presentation evaluations |
INPERSON | In-person presentations only | In-Person Conference Evaluations task - filtered to only show in-person presentation evaluations |
FULL | Full conference | Full Conference Evaluations task - filtered to show all presentation evaluations |
STAFF | Staff | Staff Evaluation task - filtered to only show the staff evaluation |
CX | Cancelled | NA |
Survey Magnet
We do not integrate directly with Survey Magnet unless only the Survey Magnet is contracted. In most cases, the integration point is with eventScribe. When a user is logged into the website or mobile app, they click a link to launch into the Survey Magnet which will sync the user account with the Magnet.
Access Levels
Access levels do not exist in Survey Magnet.
Unlock Codes
Evaluations can be restricted within Survey Magnet using unlock codes; however, only one unlock code can be assigned to an evaluation. If you only need to assign one unlock code per evaluation, then this is a great option. If you need to assign more than one unlock code, like the example above (i.e. FULL and VIR), then you'll want to consider using registration items.
NOTE
Unlock codes do not control access to the evaluation button on the presentation popup in eventScribe. Once a user launches into Survey Magnet, evaluations can be locked down with unlock codes, as described above.
