Overview

The Scorecard Author Member Lookup is available for the ‘Authors’ task and allows a submitter to search for an author in the organization's membership database.

Description

Author member lookup can be configured as required or optional. When enabled, the submitter will see a search box to look up a user using one of the supported lookup methods listed below. The search returns a list of matching users displaying first name, last name, and email address. The submitter can select a user from the list to add them as an author on their submission.

If the lookup is required, this is the only way to add an author. Manual text fields for first name, last name, and email address will remain visible but disabled and inaccessible. If the lookup is optional, the submitter may use the lookup tool or manually add an author by entering their first name, last name, and email address.

Clients may also enable Multi-Author Complete, which automatically sends each added author an email with a unique link to log in and complete their designated tasks.

Lookup Methods

The following lookup methods are supported:

  • Email address
    • Note, if the membership system does not have a unique email constraint, the member lookup will only display the first email returned
  • Member ID

Considerations

  • Member Privacy & GDPR: Using author member lookup exposes member information to the submitter. Clients can control which fields are exposed during the lookup experience. However, once a member is added to a submission, the submitter can view all mapped member profile fields, including email address and member ID.
  • Accuracy: There is no guarantee that the submitter will select the correct individual, particularly if duplicate accounts exist within the membership system.
  • User Experience: If the lookup is required and the submitter cannot find a member, they will be unable to complete their submission. This often becomes more problematic as the submission deadline approaches. Making the lookup optional allows submitters to add non-member authors; however, these authors will not have a member ID associated with their Scorecard profile.
  • Administration & SSO: If single sign-on (SSO) is enabled with Education Harvester, any author added manually (not via member lookup) must have a corresponding member profile created in the membership system. The member ID must then be added to either the author’s Scorecard user profile (pre-migration) or Education Harvester user profile (post-migration). Without this, SSO will not recognize the user and they will be unable to log in to the Education Harvester. 

Supported Fields

The following fields are available to be populated in Scorecard for the author profile. Specific configurations depend on the data available from the customer’s AMS and the customer’s event-specific needs.

  • Member ID (required)
  • Member (true/false)
  • First Name (required)
  • Last Name (required)
  • Credentials
  • Company
  • Title
  • Email (required)
  • City
  • State
  • Country

IMPORTANT NOTE

Clients should update their Scorecard Settings >>> Users >>> Account Options to “Show user profile editor link on landing page” = “No”. End users should not edit their profile fields directly in Scorecard, as this data is sourced from the identity provider (IdP) and will be overwritten the next time the user logs in.
